Translate audience questions during a conference

    At a glance

Audience questions must enter the same prepared audio path as contributions from the stage. Provide a microphone, someone to circulate it and an instruction to wait before speaking. Before participants arrive, test a complete question from an audience position through to a listening headset, followed by the answer from the stage.

Treat the question as a stage contribution

Provide an audience microphone and make sure its signal joins the feed sent to the rack. Hearing someone directly in the room does not replace that connection. The specifications describe an input that can receive a mix of several microphones, which your audio team can prepare. Explicitly check that the questions microphone is included.

The W3C recommends microphones for audience questions. Turn this principle into a named responsibility for your event: who carries the microphone, where they wait and how the moderator calls them into the session when questions begin.

    Explain what participants should do

Before the first question, the moderator asks people to raise a hand and wait for the microphone. The person distributing it confirms the participant is ready before handing over the floor. Avoid a long technical explanation: people need to know when to start and whom to return the equipment to afterwards.

If a question begins too soon, the moderator can ask for it to be repeated into the microphone. If they need to reformulate it, they should check the meaning with its author. That reformulation is a deliberate new contribution, rather than evidence that the original words were captured.

    Test from audience positions

Example check: someone seated in a planned question area receives the microphone, introduces themselves and asks a complete question. The speaker answers from the stage, then the moderator announces the next question. A headset listener confirms that they heard the request and understood which answer belonged to it.

Repeat from another relevant position with the crew who will actually circulate the microphone. The guide to connecting the rack to the mixer helps check the feed, while the headsets and receivers guide covers the listening end of the path. Record any area needing a different arrangement.

An empty seat and nearby headset announce the audience’s arrival.
Test from an audience seat using the listening setup planned for the event.

    Prepare for slower exchanges

Decide how to handle a long question, someone seeking clarification or several spontaneous reactions. The moderator can ask for one initial question and then allow a clarification. This gives each participant a chance to follow without turning the session into parallel conversations. Keep the instruction practical and apply it consistently.

If capture cannot be approved for part of the room, announce the agreed question arrangement before opening the floor.

    • Audience microphone tested and included in the feed.
    • Equipment circulation rehearsed with the crew.
    • Waiting instruction included in the running order.
    • Question and answer heard through audience equipment.
    • Reformulation procedure agreed with the moderator.
