# Prepare proper names and specialist terms before a conference

Prepare a short vocabulary sheet approved by speakers and focused on terms that affect understanding. Use it to prepare presentations, human teams and listening tests. The document does not imply a glossary import feature or automatic learning in the Uni-Translate rack, and should contain only information needed for the rehearsal.

## Select terms that deserve a check {#selection}
Start with speaker names, the organisations mentioned and terms essential to the conclusions. Add acronyms that will actually be spoken, together with their expanded form. A very long list of everyday vocabulary hides the important points. Ask each speaker what a listener might confuse and which confusion would change the meaning of the presentation. Those answers provide a more useful priority than the length of a specialist dictionary supplied without context.

## Write a sheet everyone can understand {#fiche}
For each entry, give the spelling, a short explanation and a sentence showing how the term will be used. If a translation has been approved by the content owner, record who approved it and for which language. Mark terms intentionally kept in their original form. Maintain one dated version accessible to the people preparing the session, so competing corrections do not arrive at the audiovisual desk immediately before the doors open.

## Use the sheet during rehearsal {#repetition}
Have speakers say the terms in complete sentences, at the expected pace, using the session microphones. Follow this with an improvised sentence using the same word: a prepared reading does not cover every phrasing. The [technical rehearsal guide](https://uni-translate.fr/en/blog/translation-technical-rehearsal/) helps organise the listening session. Compare what listeners understand, then adjust presentation guidance where this makes the speech clearer without removing its substance. Keep unresolved terms visible in the rehearsal notes.

## A fictional example with three entries {#exemple}
In a fictional materials workshop, “Project Azure” names the programme being presented, “CRI” is expanded on its first occurrence, and “reference module” receives a shared definition. The team checks these three items in the introduction, the results and a question. This scenario illustrates a preparation method; it describes neither a customer nor a measured outcome. Real names would be approved by their owner before the document was circulated to the event team.

## Separate the working document from rack features {#perimetre}
The sheet is an editorial tool shared with speakers and the relevant teams. The [public rack capabilities](https://uni-translate.fr/en/specifications/) do not announce glossary import or training on your documents. Agree on how the tests will run when discussing [rack rental](https://uni-translate.fr/en/rent-rack/). Share only information needed for this preparation and remove unnecessary confidential details. A sensitive project title is not needed to test an acronym with a similar spoken form in a representative rehearsal sentence.
